Tools Tracked as Assets
High-value tools can be tracked as assets, allowing them to be maintained and tracked like any other asset. Selecting the Track as Asset(s) check box on the Tool Details page creates asset records that correspond to the specified on-hand tool room quantities.
Important!
Be careful when using this feature. Saving a tool after selecting the Track as Asset(s) check box results in the creation of corresponding assets in the Asset List based on the currently defined on-hand quantity. Modifying on-hand quantity also results in the addition and deletion of assets. Clearing the check box will delete any assets already placed in the Asset List.
-
Select the Track as Assets check box on the Tool Details page.
-
Click Save.
After selecting this check box and saving the tool record, corresponding assets are created in the Asset List based on the currently defined on-hand quantity on the Tool Locations tab. By default, these initial records are placed in a folder in the Tool Rooms node at the highest level of the Asset List.
An increase in on-hand quantity on the Tool Locations tab automatically creates additional asset records in the respective Tool Room folder. Similarly, reductions to on-hand quantity result in deletions of assets currently in the Asset List. The system removes any assets that do not have a serial number identified, if any exist. Similarly, if assets associated with a tool are removed from a designated tool room node, the corresponding on-hand quantity is updated.
Existing assets can be manually associated with a tool by designating the Tool Item ID on the Asset Details sub-tab. The asset, once placed in a Tool Room node, then properly increments on the corresponding Tool Locations tab.
Once assets have been created for a given tool, they can be serialized (uniquely identified) on the corresponding Asset Details sub-tab. Tools tracked as assets should be serialized to allow for identification when moving between tool rooms.
Tools tracked as assets can be moved between tool rooms via the Asset List. Tools tracked as assets can also be moved to / from non-tool room nodes in the Asset List. The on-hand count for the tool room decreases/increases accordingly.
Move a tool from one tool room to another:
-
Select the tool in the Asset List Tool Room node.
-
Drag and drop the tool to another Tool Room node on the tree.
The on-hand count for the tool is reduced by one unit in the original tool room and increased by one unit in the new tool room.
If a tool tracked as an asset is to be permanently removed, the item must be deleted from the Asset List. The tool room will be updated accordingly.
Clearing the Track as Assets check box on the Tool Details page also results in all associated assets being deleted from the Asset List.
